Our Moving Policy and Terms
Effective Date: October 08, 2025

Welcome to Pads & Dollies Movers, your reliable partner for seamless relocations within the United States since 2009. These Moving Policy and Terms (“Terms”) govern the use of our services and outline the expectations, responsibilities, and protections for both our clients and our team. By engaging our services, you agree to these Terms in full. If you disagree with any portion, please refrain from using our services.
We may revise these Terms periodically to reflect changes in our operations, legal requirements, or industry standards. Updates will be posted on our website, and your continued engagement with us signifies acceptance of the modifications.

Company Overview
Pads & Dollies Movers has been providing top-tier moving services across the U.S. since our founding in 2009. We specialize in residential, commercial, and specialty relocations within the contiguous states, Alaska, and Hawaii. Our commitment to excellence is backed by compliance with all relevant regulations, including those from the Federal Motor Carrier Safety Administration (FMCSA) and the Department of Transportation (DOT). We prioritize safety, efficiency, and customer satisfaction in every move.

Scope of Services
- Service Offerings: Our comprehensive services include packing and unpacking, loading and unloading, transportation, furniture assembly/disassembly, and temporary storage solutions. We handle everything from local moves to cross-country relocations, with options for fragile items, vehicles, and oversized goods.
- Quotes and Estimates: Estimates are provided based on your detailed inventory, distance, and specific needs. Non-binding estimates may adjust due to additional services or unforeseen factors like access challenges. Binding estimates are available upon request and require a signed agreement.
- Availability: Services are scheduled based on availability. We strive to meet your preferred dates but may adjust for high-demand periods, weather, or logistical constraints.

Booking, Payment, and Fees
- Booking Requirements: A non-refundable deposit of 25% of the estimated cost is required to confirm your booking. This secures your date and resources.
- Payment Terms: Full payment is due upon delivery unless a payment plan is arranged in advance. We accept credit cards, electronic transfers, cashier’s checks, and money orders in USD. A 2.5% fee applies to credit card payments.
- Additional Charges: Fees may be added for extras such as packing materials, long-distance carries, elevator usage, or fuel surcharges. All applicable taxes, tolls, and permits are the client’s responsibility.
- Overdue Payments: Late payments accrue interest at 1.5% per month. We reserve the right to delay or withhold services until payment is cleared.

Cancellation and Changes
- Cancellation Policy: Cancellations made 30+ days prior to the move date receive a full deposit refund minus a $50 administrative fee. Between 15-29 days, 50% of the deposit is refunded. Within 14 days or no-shows, the deposit is forfeited.
- Rescheduling: Changes to dates must be requested at least 10 days in advance. We will accommodate if possible, but fees may apply for rerouting or additional preparation.
- Unforeseen Events: In cases of force majeure (e.g., severe weather, natural disasters, or pandemics), neither party is liable for delays. We will work to reschedule without penalty.

Liability, Insurance, and Claims Handling
- Coverage Options: Standard liability is provided at no extra cost under released value protection ($0.60 per pound per item). For enhanced coverage, we offer full-value protection or can recommend third-party insurance. Clients are encouraged to review their personal policies for additional safeguards.
- Liability Limits: We are not responsible for damages to items not professionally packed by us, pre-existing conditions, or external events. Total liability is capped at the declared value or $75,000 per shipment, whichever is lower.
- Claims Procedure: Report any loss or damage in writing within 45 days of delivery, including photos and receipts. We investigate claims promptly and aim to resolve them within 90 days.
- Restricted Items: We do not transport hazardous materials (e.g., chemicals, firearms), perishables, live plants, or valuables (e.g., cash, jewelry). A full list is available in our Non-Transportable Items Policy. Transporting prohibited items voids all coverage.

Client Obligations
- Information Accuracy: Provide complete details on inventory, access (e.g., stairs, parking restrictions), and any hazards to ensure safe and efficient service.
- Preparation Duties: Secure valuables, disconnect appliances, and prepare items for transport. A representative must be on-site during key phases.
- Permits and Access: Obtain and cover costs for any required permits, parking, or building approvals. Fines from non-compliance are the client’s responsibility.
- Safety Compliance: Follow our team’s instructions to maintain a safe environment during the move.

Privacy and Data Handling
We collect necessary personal data (e.g., contact information, addresses) to facilitate your move. This information is handled securely per our Privacy Policy and in line with laws like the General Data Protection Regulation (GDPR) for applicable clients and U.S. state privacy acts. Data is not shared with third parties except for essential service providers (e.g., insurers) and is protected against unauthorized access.

Dispute Resolution Process
- Initial Resolution: We aim to address concerns quickly—contact our support team via email or phone for assistance.
- Formal Disputes: Unresolved issues will be settled through mediation or binding arbitration under the American Arbitration Association (AAA) rules, conducted in the originating state’s jurisdiction.
- No Class Actions: Disputes must be handled individually; class action lawsuits are waived.
- Governing Law: These Terms are interpreted under the laws of the State of Texas, with venue in Dallas County courts for any litigation.

Additional Provisions
- Complete Agreement: These Terms represent the entire understanding between you and Pads & Dollies Movers, overriding any prior discussions.
- Severability Clause: If any term is found unenforceable, the rest remain valid.
